How to make a birthday invitation online and send it on WhatsApp

5 min read · Updated 2026-12-04

A birthday invitation has one job: tell people when, where and what to bring, so you do not answer the same questions twenty times. A card on one link does it better than a photo in a group chat, because the details stay in one place, the time shows in each guest's own zone and replying takes one tap.

What a birthday invitation needs

  • The name of the birthday person and, if you like, the age on a big balloon.
  • The day, the start time and when it ends, so parents know when to come back.
  • The place, with a map button that opens the exact spot.
  • A theme or dress code, and what to bring (swimwear, a change of clothes, nothing at all).
  • What to do about gifts: a plain "just come" or a short wish list.
  • Who to reply to and by which day.

Make the card in five steps

  1. Press "New card", choose Birthday and give the card a name such as "Aarav turns 7".
  2. Pick a template. Pastel Party is free and has everything on this list.
  3. Fill in the greeting, then the party details: the start time, the end time and the place. Times are typed in your own time and each guest sees them in theirs.
  4. Add the plan (games, food, cake) with a picture for each step, the theme, the gifts and the map.
  5. Add your WhatsApp number and a "reply by" day, then make the card live and copy the link.

Choose a look that fits the guests

For a children's party, a template that opens like a game works well: in Balloon Pop guests pop seven balloons to open the card, and it makes no sound, so it is fine at school. For a milestone birthday, Make a Wish opens on a cake where guests hold a button to take a breath and let go to blow out the candles, with a cheer, confetti and a party tune. For a first birthday or a quiet family party, Music Box plays a soft lullaby and has a little piano guests can play.

Paste the link into the group or send it one to one with a line of your own, such as "Aarav's birthday is on the 14th, all the details are here". Guests tap the link, read the card and reply with the button, which opens WhatsApp with a ready message. If you change the time or the place later, edit the card and the same link shows the new details. More tips are in how to send an invitation on WhatsApp.

Before you send it

  • Open the link on your own phone and check the date, the time and the map.
  • Read the plan once: is every step something you really have time for?
  • Check that the reply button opens WhatsApp with your number.
  • Send it at least two weeks before, and a gentle reminder two days before.

Questions

Is there a free birthday invitation template?

Yes. Pastel Party is free to use. The animated and sound templates are paid, and you can build and preview a card with them before you buy.

Do guests need an app?

No. The card is a normal web page that opens in WhatsApp and any browser.

Can I hide the age?

Yes. Leave the age empty and the card shows a cake instead of a balloon with a number.

Can I add a wish list?

Yes. The gifts section takes a line of text and up to six wishes, each with an optional link to a shop page.
